Volunteer Opportunities

The Newcomers-Encore Club of Short Hills and Millburn relies upon its membership to generously volunteer some time each month to keeping the club going and growing.  Volunteering for the club in a big or small role is a great way to meet people and to give back to a club that has been serving the community for over 35 years.  If you would like to get involved, please leave a message with Newcomers-Encore at 973-486-8043 and someone will get back to you. You can also send an e-mail to info@newcomersencoreclub.org.  Below are short descriptions of some volunteer positions. You can also volunteer by starting up your own activities under the Newcomers umbrella – we always welcome new ideas.

Board Positions

Co-Presidents: Preside over Board Meetings, represent the Club at functions, attend New Member Events and execute By-Laws.  Prepare and distribute agenda prior to each Board Meeting. Write the monthly Presidents’ Message and edit the monthly newsletter.

Treasurer:  Maintains Club checking account, pays the club's bills and prepares monthly written financial statements.  At Board Meetings, summarizes the past month’s financial report.

Secretary:  Manages Board meeting minutes.

VP Membership:  Manages members’ applications, dues collections and membership database.

Membership Assistant:  Writes new member biographies for the monthly newsletter.  Mails a directory and other introductory materials to all new members.  

VP Activities:   Coordinates the scheduling of monthly activities submitted by Activity Leaders, as well as Programs, Social, and New Member Events committees.  Maintains and distributes the monthly activities calendar and reports to the board on any new and/or exciting activities for the current month. Coordinates newsletter copy. 

Co-VPs Programs & Programs Committee:  Coordinate the scheduling of monthly programs.  See Activities, Programs and Socials on the Home Page.

Co-VPs Social & Social Committee:   Coordinate the scheduling of two annual events that are open to all members.   At the Board Meeting, a committee member will report the success of the previous event, bring written detailed plans and budget proposal for the upcoming event for Board discussion and approval, as well as promote the upcoming event.

New Member Events Co-Chairs & Committee:  Coordinate the scheduling of free & fun events that are open to all members and prospective members with a mix of both day and evening activities.  At the Board Meeting, a committee member will report the success of the previous event and promote the upcoming events for the coming months. 

Newsletter Editor:  Typesets newsletter and oversees the printing process. 

Other Volunteer Opportunities

Activities Coordinator:  With the help of Activities leaders and the listserv coordinator, makes a connection between potentially interested new members and the Club’s activities.  At the Board Meeting, the Activities Coordinator discusses new activity requests from membership applications and any other related issues.

Newsletter Assembly Chair & Committee:  Coordinates the monthly newsletter assembly and mailing.

Publicity Committee:   Responsible for getting pictures from each of the major events, and for getting events publicized on our website, in The Item and The Independent Press, and, when appropriate, The Suburban Essex Magazine, Vicinity Magazine, or other publications.  Works closely with the New Member Events, Programs, and Social committees to assist in promoting any events to which the club welcomes non-members.

New Member Locator:
 Works to locate and solicit prospective members. 

Directory:  Develops and ships the annual membership directory for a November mailing. 

Webmaster:  Works to maintain and keep current our web site.

Playgroup Coordinator:  Organizes playgroups for members. 

Sunshine & Shadows:  Provides Sunshine & Shadows copy to the Newsletter Editor.  Copy can include, but is not limited to: new children, new home, awards received, and/or loss of loved one.   At the Board Meeting, reports any information to the Board and requests any new news from the Board.

Community Outreach Chair:
  Coordinates community outreach activities for the area. In addition, coordinates meal deliveries for families in town who are experiencing significant life changes such as a loss of a loved one, illness or new baby.  

Listserv Coordinator:  Maintains technical operation of the email information loop.  Responds to help users with technical questions.  When requested by member, helps him/her to join listerv.
